Position Overview:

We are looking for a proactive and highly organized Office Administrator to support our growing startup. This role is a mix of office management, executive assistant support, and team coordination. You’ll be the go-to person for keeping our office running smoothly — from setting up meals and supplies, to organizing desks, to helping leadership with scheduling and administrative tasks.

Key Responsibilities

Office Operations & Facilities

  • Manage office supplies, equipment, and snacks; ensure the office is stocked and organized.
  • Coordinate desk setups, seating charts, and office layout changes.
  • Liaise with building management and vendors for maintenance, cleaning, and security.
  • Manage incoming/outgoing mail and deliveries.

Team Support & Culture

  • Organize team meals, catering, and occasional events (all-hands, celebrations, offsites).
  • Order equipment, swag, and miscellaneous team needs.
  • Help onboard new employees (desk setup, welcome kits, access badges, etc.).
  • Support a positive, efficient, and fun office environment.

Executive Assistance

  • Provide scheduling and calendar support for leadership.
  • Book travel arrangements, accommodations, and itineraries as needed.
  • Assist with expense reports and basic administrative tasks.
  • Draft communications and coordinate meetings.

Qualifications

  • 3–5 years of experience in office administration, executive assistant, or operations roles (startup experience a plus).
  • Strong organizational skills with excellent attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency with productivity tools (Google Workspace, Slack, Zoom, expense platforms, etc.).
  • Positive attitude, resourcefulness, and willingness to jump in wherever needed.
